Part of our guide: What is the best CRM for a trades business in the UK?.
Written by Dan Sagar, FoundationsAI. Updated October 2026.
A CRM workflow is a set of steps your CRM carries out automatically when something happens. For example, when a new enquiry arrives, it can send a text, create a task to call them back and add them to your pipeline, all without anyone lifting a finger. Workflows save time by taking over the repetitive follow-up, reminders and admin that would otherwise rely on someone remembering.
How a workflow works
Every workflow has three parts:
| Part | What it means | Example |
|---|---|---|
| Trigger | The thing that starts it | A new enquiry arrives from your website |
| Actions | What happens next | Send a text, send an email, create a task, move them in the pipeline |
| Conditions | Rules that change what happens | If they reply, stop. If they book, send a confirmation instead |
Five workflows every service business should have
| Workflow | Trigger | What it does |
|---|---|---|
| New enquiry | A form, call, message or email comes in | Instant text and email reply, plus a task for someone to call |
| Missed call | A call isn't answered | Texts the caller straight away so they don't ring someone else |
| Quote follow-up | A quote is sent and there's no reply | Friendly follow-ups after 2, 5 and 10 days, stopping when they reply |
| Appointment reminder | A booking is made | Confirmation now and a reminder the day before |
| Review request | A job is marked as done | Thank-you and a Google review request, with one reminder |
How much time does it save?
It depends on how many enquiries and jobs you handle. Here's an example with illustrative figures for a business with 40 enquiries, 20 quotes and 20 jobs a month:
| Task done by hand | Time each | A month |
|---|---|---|
| Replying to new enquiries | 5 minutes | 3 hours 20 minutes |
| Chasing quotes (two chasers each) | 5 minutes per chaser | 3 hours 20 minutes |
| Appointment reminders | 3 minutes | 1 hour |
| Asking for reviews | 3 minutes | 1 hour |
| Total | About 8 hours 40 minutes |
Workflows don't remove all of that, because someone still has to answer the replies. But they take away most of the routine sending and, more importantly, make sure it actually happens every time. One of our fire safety clients got his admin and chasing under control and freed up his week for the work that earns him money.
Setting up your first workflow
- Pick the one that hurts most. Usually new enquiries or missed calls.
- Write down the steps you'd do by hand, and when.
- Turn each step into an action, with waits in between.
- Add a stop rule: when they reply or book, the workflow stops.
- Test it with your own phone number and email before switching it on.
Then move on to the next one. Our guide to automating lead follow-up has a sequence you can copy.
Common questions
What's the difference between a workflow and an automation?
They're usually the same thing. A workflow is a set of automated steps that run when something happens.
Do I need to be technical to build a workflow?
Not for simple ones. Most CRMs let you build them by picking a trigger and adding steps. More complex ones take longer, which is why some businesses have them built.
Will workflows make us sound like a robot?
Not if the messages are written the way you'd normally talk, signed by a person, and stop the moment someone replies.
