What GoHighLevel is bad at, and who shouldn't use it

An honest look at GoHighLevel's weak spots, what it doesn't do and who'd be better off with something else.

We sell GoHighLevel, so you'd expect us to say it's perfect. It isn't. It's a powerful system for service businesses that need enquiries, follow-up, booking and reviews in one place, but it has a learning curve, it doesn't do everything, and for some businesses it's simply the wrong choice. Here's where it falls short and who should look elsewhere.

    Where GoHighLevel falls short

    1. There's a lot to learn

GoHighLevel does a huge amount, and that's also its biggest weakness. Open it for the first time and there are menus for everything. Without help, many people get lost, set up half of it and never come back. This is the most common reason it doesn't work out.

    2. It changes often

New features arrive almost every week. That's mostly good, but buttons move, screens change and guides go out of date quickly.

    3. It isn't full job management software (yet)

GoHighLevel handles enquiries, follow-up, booking, quotes, invoices and payments well. It isn't built for running engineers in the field: route planning, timesheets, and stock and parts. A project management feature is on its way, and things like trade certificates can be set up with some work (we've done it for a client), but if day-to-day job management is what you need most, a trade tool like Jobber, Tradify or ServiceM8 will suit you better today, or can run alongside it.

    4. It isn't accounting software

You can send invoices and take payments, but you'll still need Xero, QuickBooks or similar for your books and VAT returns.

    5. Texts and calls cost extra

The monthly price covers the software. Texts, calls and some AI features are charged on top as you use them. Through FoundationsAI a UK text costs about 6p, and every plan includes monthly credit, but it's a cost you need to know about. See what GoHighLevel costs in the UK.

    6. It was built in the US

Some default settings, like date formats, time zones and currency, need changing for a UK business, and buying direct from HighLevel means paying in US dollars.

    7. Reporting is good, not great

You can see where enquiries come from, how fast you reply and what's in your pipeline. If you need very detailed sales reporting across a large team, a more expensive CRM like HubSpot goes deeper.

    8. The website builder suits simple sites best

It's good for service business websites and landing pages. For a large, complex website or an online shop with lots of products, a dedicated platform is better.

    9. Leaving takes some work

You can export your contacts, but your automations, website and funnels don't move to other software. That's true of most all-in-one systems, but it's worth knowing before you start.

    Who shouldn't use GoHighLevel

    • Sole traders with a handful of enquiries a month who reply to everything straight away. A phone, WhatsApp and a spreadsheet may be enough.
    • Businesses that mainly need job management for a team of engineers.
    • Online shops selling lots of products. Shopify and similar are built for that.
    • Anyone who won't give it any time and doesn't want to pay for setup. Unused software is the most expensive kind.
    • Large companies that need advanced reporting and complex permissions across many teams.

    Who it's great for

Service businesses (trades, clinics, salons, coaches, consultants and agencies) that get a steady flow of enquiries by phone, website, email and social media, and lose work because follow-up slips. If that's you, the weak spots above are usually worth it.

How we deal with the weak spots

We can't make GoHighLevel do things it doesn't do, but we can take most of the pain out of the rest:

    • The learning curve: every plan includes a setup session, and on Managed we build the whole thing for you.
    • Constant changes: 24/7 human support and a weekly live call for questions.
    • US defaults: we set it up for the UK, with pricing in pounds and UK VAT invoices.

If GoHighLevel isn't right for you, we'll tell you on the demo call.

    Common questions

    Is GoHighLevel hard to use?
It has a lot of features, so it can feel overwhelming at first. With a proper setup and a bit of training, most businesses use the parts they need every day without trouble.

Can GoHighLevel replace Xero or QuickBooks?
No. It handles invoices and payments, but you'll still need accounting software for your books and VAT.

    Is GoHighLevel good for tradespeople?
For enquiries, follow-up, quotes, reviews and booking, yes. Some trade needs, like certificates, can be set up with a bit of work. For day-to-day engineer scheduling, timesheets and stock, a trade-specific tool is better for now, and the two can work side by side.

What are the hidden costs of GoHighLevel?
Texts, calls and some AI features are charged as you use them, and add-ons like unlimited WhatsApp cost extra. Through FoundationsAI they're all listed on our cost page.

Can I get my data out if I leave?
Yes, you can export your contacts. Automations and websites don't transfer to other software.
